Occasionally, it is necessary to make changes to aContractor's Progress Estimate (Form C21C) and/or an Inspector'sMonthly Construction Progress Report (Form C-3B) after the fileshave been "permanently" updated, even though the updatehas been reviewed and approved previously. This requires thatchanges to the computer files be made by the Data ProcessingDivision.
In order to establish uniformity and protect the integrity ofthe computer files, the procedures outlined in the attached flowchart have been developed. These procedures are to be carefullyadhered to.

Attachment to CD-96-11 FLOW CHART FOR CORRECTION OFCOMPUTERIZED ESTIMATES (C-21's) AND PROGRESS REPORTS (C-3's)
Error Detected 1. Error Detected - Whenever an error isdetected in a computerized C-21 or C-3 after the permanent updatehas been performed, the District Contract Administrator verifiesthat an error has been made and then contacts the ConstructionDivision.
Construction Division 2. Construction Division contacted -Contacted The District Contract Administrator or person delegatedthis responsibility calls the Construction Division, ContractAdministrator or the Contract Administration Engineer anddiscusses the source of error and corrections needed. At thistime a decision is made as to what files need correction and thetype of correction(s) needed.
District Contract 3. The District Contract AdministratorAdministrator informs the District Computer Notifies DistrictOperator Tech. of impending change Computer and providesnecessary data to Operator Technician effect correction whennotified by Data Processing Division in Step 7.
Data Control Contacted 4. The Construction Division contactsthe Data Processing Division (Data Control Section) and initiatesthe necessary change(s).

Data Control Notifies 5. Data Processing Division (DataDistrict Computer Control) notifies the District Operator Tech.Computer Operator Tech. of impending change to insure that theDistrict Computer Operator Tech. does not attempt any processingwhich would interfere with the change.

Correction Made 6. Correction Made - Data Processing Division(Data Control) will make the correction(s) to computer files asneeded.
Data Control Notifies 7. Data Processing Division (DataDistrict Control) notifies District Computer Computer OperatorTech. Operator Tech. that file change(s) are complete.
Corrected Documents 8. District Computer Operator Tech.Produced by District executes the appropriate procedures toproduce corrected C-21 or C-3, as requested by the DistrictContract Administrator.
